In short: IHAV Production delivered full AV and hybrid streaming for a medical industry event at Leonda by the Yarra Ballroom in Hawthorn, Melbourne in June 2024.

The challenge

What the event organiser needed

The organiser needed a hybrid event that worked for both the room and the online audience at once. That means two things have to go right simultaneously: the in-room presentation experience and a clean, stable stream going out to remote attendees. Any failure in either direction reflects on the host.

For a medical industry gathering, the stakes are higher than most. Speakers presenting clinical content need a presentation environment that doesn't let them down, and delegates watching online need a stream that holds without dropping. The organiser needed all of that handled by one experienced team, without having to chase multiple suppliers or troubleshoot on the day.

How we delivered

The production, end to end

IHAV set up a complete hybrid production in the Leonda Ballroom, anchoring the vision workflow around the Roland V-160HD multi-format video switcher. This gave the operator full control over what went to the room screen and what went out to the stream, with clean switching between presentations, cameras and graphics. Signal distribution was handled through a bank of Decimator SDI/HDMI duplicators, ensuring consistent feed across every output without degradation.

A dedicated Limbic streaming kit handled the broadcast side, backed by a Telstra 4GX hotspot and a Draytek dual WAN router for internet redundancy. If one connection dropped, the other kept the stream live. LCD screens on fold-back stands gave speakers and the room clear sight of the programme. The show laptop and a presenter clicker meant speakers could move through their slides without relying on anyone at the tech desk for every advance.

FAQ

Questions about events like this

Can IHAV handle hybrid events at Leonda by the Yarra?

Yes. IHAV has delivered hybrid events in the Leonda Ballroom, managing both the in-room AV and the live stream as a single production. One crew, one point of contact, both audiences covered.

What happens if the internet drops during a live stream at a Melbourne venue?

IHAV uses a dual WAN setup on hybrid events, combining a 4G mobile hotspot with a wired or secondary connection through a failover router. If one connection goes down, the stream stays live on the backup. It's a standard part of how we protect broadcasts.

Do you provide live streaming for medical or healthcare industry events in Melbourne?

Yes. IHAV regularly handles hybrid and streamed events for the medical industry across Melbourne and nationally. We bring the full production kit, including vision switching, streaming hardware and internet redundancy, so your clinical content is presented without interruption.

What AV equipment is needed for a hybrid event in a Melbourne ballroom?

A well-run hybrid event typically needs a video switcher to manage sources, a streaming encoder, reliable internet with a backup connection, and in-room screens or projection for the live audience. IHAV supplies and operates all of it, so you're not coordinating multiple suppliers on the day.
